We are seeking a highly motivated and organized individual to join our growing team as an Executive Assistant. This role provides direct support to Senior Management, playing a crucial role in ensuring their day-to-day operations run smoothly and efficiently. Job Title: Executive Assistant
Key Responsibilities: Primary duties involve secretarial office support to the MD & CEO by aiding duties that relates to OCM operations.
Purpose of the Job:
▪ Act as the point of contact among executives, employees, clients and other external partners.
▪ Manage information flow in a timely and accurate manner.
▪ Manage executives’ calendars and set-up meetings.
▪ Manage travel and accommodation arrangements.
▪ Rack daily expenses and prepare weekly, monthly or quarterly reports.
▪ Drafting letters and documents whenever necessary.
▪ Maintain executive’s appointment schedules.
▪ Completes projects by assigning work to clerical staff and follow up on results.
▪ Act as an office manager by keeping up with the supply inventory.
▪ Format information for Internal and External Communication–memos, emails, presentations, reports.
▪ Welcomes guests and customers by greeting them, in person or on the telephone answering or directing inquiries.
▪ Maintains customer confidence and protects operations by keeping information confidential.
▪ Take minutes during meetings.
▪ Maintains office supplies inventory by checking stock to determine inventory level anticipating needed supplies.
▪ Screen and direct phone calls and distribute correspondence.
▪ Organize and maintain the office filling system.
▪ Contributes to team effort by accomplishing related results as needed
Job Requirements:
▪ Completion of Graduate Degree in Business Administration or relevant field will be an added advantage.
▪ Minimum 3+ years of experience in a relevant field.
▪ Excellent MS Office Knowledge.
▪ Outstanding organizational and time management Skills.
▪ Good verbal Communication in English and Dhivehi.
▪ Good written skills in English and Dhivehi.
▪ Discretion and Confidentiality.
▪ Exceptional Interpersonal Skills.
▪ Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
Salary: Salary is negotiable based on the experience.
